An invoice is a payment request, and how it is written measurably affects how fast it gets paid. Studies of freelance payment behaviour consistently find that invoices with clear due dates, itemised work and a stated payment method are settled significantly faster than vague ones.
This generator produces a clean, professional PDF invoice with line items, tax and totals in about a minute. No account, no subscription, no watermark, and nothing is uploaded — the PDF is built in your browser.
How to use the Invoice Generator
Fill in your details and your client’s
Include full legal names and addresses. For business clients, add their company registration or tax number if their jurisdiction requires it.
Set the invoice number and dates
Use a sequential number that never repeats — tax authorities in most countries require an unbroken series. Set both the issue date and the due date.
Add your line items
One line per deliverable, with quantity and rate. Describe the work in terms the client recognises from what they asked for.
Add tax if it applies
Enter your sales tax, VAT or GST rate. Leave it at zero if you are not registered to charge it.
Download the PDF
Review the preview, then download and email it to your client the same day the work completes.
What every invoice must contain
- The word "Invoice" — a document headed "Statement" or "Receipt" is legally a different thing.
- A unique sequential invoice number — required for tax records and essential for tracking what has been paid.
- Your full name or business name and address, plus your tax registration number if you have one.
- Your client’s full legal name and address — the entity being billed, not just a contact person.
- The issue date and the payment due date as an actual calendar date, not "net 30".
- An itemised description of the work, with quantity, rate and line total for each item.
- The subtotal, any tax, and the final amount due, with the currency stated explicitly.
- Payment instructions — bank details, or a link if you accept cards.
Payment terms and what they mean
| Term | Meaning | When to use it |
|---|---|---|
| Due on receipt | Payable immediately | Small jobs, new clients, one-off work |
| Net 7 / Net 14 | Due within 7 or 14 days | The best default for freelancers |
| Net 30 | Due within 30 days | Standard for corporate clients |
| Net 60 / Net 90 | Due within 60 or 90 days | Common with large enterprises — price this delay in |
| 50% upfront | Half before work begins | Any substantial project, and any new client |
| 2/10 net 30 | 2% discount if paid within 10 days | An incentive to pay early |
Shorter terms genuinely get paid sooner. Research on freelance invoicing repeatedly finds that "due on receipt" and 7-day terms are settled substantially faster than 30-day terms.
Getting paid on time
- Invoice immediately. The longer the gap between delivering work and asking for money, the less urgent it feels to the client.
- Send it to the right person. Accounts payable pays invoices; your project contact often does not. Ask who to send it to before you finish the work.
- Include a purchase order number if the client uses them — invoices without a PO number are frequently rejected outright by corporate finance systems.
- State a late fee in your contract — commonly 1.5% per month — and reference it on the invoice. Enforceability varies by jurisdiction, but stating it changes behaviour.
- Follow up on a schedule: a polite reminder the day after the due date, another at seven days, and a firm one at fourteen.
- Take a deposit on any project large enough that non-payment would hurt. Fifty percent upfront is a normal professional standard, not a sign of distrust.
Invoice, quote, receipt, purchase order
| Document | Purpose | Issued by |
|---|---|---|
| Quote / estimate | Proposed price before work starts | Seller |
| Purchase order | Buyer’s formal commitment to buy | Buyer |
| Invoice | Request for payment after delivery | Seller |
| Receipt | Proof that payment was made | Seller |
| Credit note | Cancels or reduces an issued invoice | Seller |
Never edit an invoice you have already sent. Issue a credit note against it and raise a new invoice — editing breaks the audit trail your accountant and any tax inspection will rely on.
Tax on invoices
Whether you charge tax depends on where you and your client are, and whether you are registered. In the US, most services are exempt from sales tax in most states, but goods and some digital services are not — and rules differ state by state.
In the UK and EU, you must register for VAT once you cross the threshold, and cross-border business-to-business sales are often reverse-charged, meaning you invoice without VAT and note that the reverse charge applies. In India, GST applies with similar registration thresholds.
Set the rate to zero if you are not registered. If you are unsure, one conversation with an accountant costs far less than a mis-filed return.
This tool produces the invoice document. It is not tax advice, and it does not file anything for you.
Record keeping
Keep a copy of every invoice you issue. The IRS generally expects records to be retained for three years, extending to six where income was substantially understated; HMRC requires five years after the filing deadline; most EU states require six to ten.
Because this tool has no account and stores nothing, download each PDF and file it yourself — a folder per tax year, named 2026-001-clientname.pdf, is enough and takes seconds.
Frequently asked questions
Is this invoice generator really free?
Yes, with no account, no watermark, no invoice limit and no subscription. The PDF is generated in your browser.
What should an invoice number look like?
Anything sequential and unique — 2026-001 onwards is clear and sorts correctly. What matters is that numbers never repeat and the series has no gaps.
Do I need to charge sales tax or VAT?
Only if you are registered. In the US most services are exempt in most states; in the UK, EU and India registration becomes mandatory above a turnover threshold. Set the rate to zero if it does not apply to you.
How long should I give a client to pay?
Net 14 is a good default for freelancers, and net 30 is standard for corporate clients. Shorter terms are paid faster — always state an actual calendar due date.
What do I do about an unpaid invoice?
Follow up in writing the day after it falls due, then at seven and fourteen days. After thirty days, send a formal demand referencing your contract terms. Small claims court is realistic for modest amounts and does not require a lawyer in most jurisdictions.
Can I add my logo?
The current template is a clean typographic layout without image upload. It is designed to read as professional on its own — most clients care far more about clarity than branding on an invoice.
Are my invoice details stored anywhere?
No. Everything stays in your browser and the PDF is generated locally. Nothing is transmitted, which also means nothing is saved between visits — download and file each invoice yourself.
Can I invoice in another currency?
Yes — enter amounts in whatever currency you bill in and state it clearly. For international work, agree who covers the transfer fees before invoicing.
100% private. Files are processed on your device and never uploaded.
